This article is for school team agents receiving new main or additional school user requests.
- Determine the name of the school: if you can't determine the name of the school, ask the school rep to provide the school name & city.
- The city is helpful because some schools have the same name but are in different cities.
- Check if the school is in the directory
- the Iowa State reps update the contacts as needed
- School Team lead will update the directory & provide the date in the 'updated' column
- If YES,
- For school rep requesting additional users: Inform the school rep that only the main administrator can add additional users & ask for the additional user email address(es)
- OR -
- For school rep requesting to switch the main administrator: Inform the school rep that the Iowa DE has to approve the main administrator & ask if the Iowa DE changed the main administrator for the school.
If YES, ask the school team lead/manager if there are any DE-approved school admin updates.
- If the lead/manager says 'YES', let the school know we will provide login credentials once tech sets up their account and add the ticket to a new Asana subtask here.
*Example: Ticket #330672
- If the lead/manager says 'NO', inform the school rep "We haven't received an update from the DE for a new user since (last update date from school directory). If you contacted the DE after this date please wait for them to contact us with the new updates. If you contacted the DE before this date, please correspond with the DE."
- If NO, inform the school rep that only accredited nonpublic schools approved by the Iowa Department of Education can sign up for Odyssey.
- Once the school provides the additional user email address(es) WITH an official domain, send the email(s) to the #school-team channel in slack for a school lead/manager to approve the user(s).
An unapproved email domain would be any public website. ex: gmail, yahoo, hotmail, live, me, icloud, etc.
- If a school sends an additional user with an unofficial domain: "To uphold the security and formal nature of our communications, all contact email addresses must come from official school domains. Public email domains such as Gmail, Yahoo, and Hotmail, for example, are not authorized. An official school email address is required to ensure the security and formality of our communications. Please provide an official school email address or an authorized school point of contact for [school name]." (Ex: Ticket #322558)
